Portable Electronic Equipment or Devices (PEDs) are defined as any portable piece of
equipment that has the ability to store, process or transmit information. Examples include
(but are not limited to) laptops, tablets, net books, mobile phones, cameras, Dictaphones.

Upon collection of your IT equipment, you will be asked to sign a declaration to confirm you accept the security conditions below.

  1. Password Protection

I agree to protect my council electronic device from unauthorised access by using a strong password or difficult to guess PIN known only to myself.

  1. Conditions of Use for Mobile Phones

I understand that this mobile phone will be issued to me as a personal safety and communications device when attending to work related tasks. It is my sole responsibility to carry it with me at these times. I agree to keep the phone fully charged at all times and to check it for messages on a regular basis. I agree to abide by the law for safe phone use whilst driving. I agree to keep my council mobile phone protected e.g. by making it lock after several minutes when not in use, to PIN protect access to the phone and to its SIM card.

  1. Using a Council Device outside of the UK

Before taking, or using, my council portable electronic device abroad I will get senior management approval. I will not take, nor access, personal and sensitive information when I am abroad. This is because the security risks abroad are considerably higher.

  1. Equipment Damage, Loss or Theft

I agree to report damage, loss or theft to my council electronic device to my council manager as soon as I become aware. In the event of loss or theft of my device I will submit a Security Incident Report. In the event of loss or theft of a council mobile phone I will get the phone blocked immediately after becoming aware by contacting the phone provider's 24x7 emergency centre.

I understand that the council reserves the right to recover the replacement cost of a phone or electronic device from my salary, should its loss, theft or damage result from my proven negligence.

  1. Return of Portable Electronic Device

I understand that I am required to return all council owned equipment when I leave the council. I understand that the council reserves the right to recover the replacement cost of any unreturned equipment via a deduction from my final salary or via debt recovery.

  1. Your Responsibilities

I understand that under the Data Protection Act 2018 I am responsible for the security and protection of any council data stored on my portable electronic device, on portable electronic media, or on paper.

I understand that I must comply with council information security policies & procedures, including the "Use of Mobile Phones Security Policy".

  1. I understand that failure to comply with policies or failure to protect council information could result in disciplinary following a security breach.
