Job Summary
Role Title: Housing Supply Administrative Assistant
Hours: 36 per week (Mon-Fri)
Location: Lynton House
Reports to: Housing Supply Team Leader

? Role Purpose
To support the Housing Supply Team with administrative functions related to:

Housing register assessments under the Housing Act 1996

Allocations of council/registered provider homes and temporary accommodation

PRSO placements (Private Rented Sector Offers)

Storage/removals coordination for homeless households

?? Key Responsibilities:

1. Strategy & Planning
Maintain records and systems for housing allocations

Prepare responses to data or subject access requests

Allocate housing register assessments and upload documents

2. Operations & Support
Support void (vacant property) listings and allocations

Issue offer and nomination letters

Process temporary accommodation allocations

Coordinate removals/storage requests for homeless applicants

3. System Management
Ensure electronic records are accurate and up to date

Track, monitor, and report on housing allocations and assessments

Maintain internal audit trails and assist with FOIs, complaints, etc.

4. Communication
Act as a professional point of contact for customers and external agencies

Collaborate effectively with internal teams, RPs, and stakeholders

5. Performance & Standards
Ensure targets and KPIs are met (e.g. void turnaround times)

Generate and manage statistical data and reports

? Working Relationships
External: RPs, choice-based letting systems (e.g. Abritas), councils, advocates, advice agencies

Internal: Housing Solutions, Housing Management, Voids Team

? General Requirements
Maintain confidentiality (Data Protection Act, Caldicott principles)

Comply with council policies on equality, health & safety, safeguarding, and conduct

Participate in training, performance improvement, and flexible duties as needed
